Using the Mobile App

In this article, we’ll discuss how you can get started and make the most out of your ShiftCare mobile app.

ShiftCare created a mobile app for caregivers to have access to all the information that they need to provide great service to clients.

Here, they have access to company and personal documents, their schedule, and many useful client details such as carer notes, goals, location, and reports. This is also where they can clock in and out of their shifts.

We'll walk you through everything that you have to know about the app here, from downloading to navigation.

Let's get started!

Downloading the ShiftCare App

You can download the ShiftCare App in two ways:

From your Shiftcare invite

  1. On the ShiftCare invitation that you received from your manager, click the invite link that says Click here to accept invite

  2. This will prompt you to download the app on your device.

  3. Once you have the app installed, you’ll then be prompted to set a password for your new account

  4. You can now log in and navigate the ShiftCare app using your new password and email address.

From the App Store (Apple), or Google Play Store (Android)

If you already have an existing and active account on ShiftCare, you can follow these steps instead:

  1. Go to the Google Play Store (if you’re on Android), or the App Store (if you’re using an Apple device).

  2. Search for “ShiftCare”.

  3. You’ll see ShiftCare’s app with its logo listed. Click download.

  4. Once the app is installed on your device, tap the logo to open the app.

  5. Login with your email address and password.

Viewing your Schedule

You can also view your schedule on the app. By default, this is the page shown to you every time you open the app.

  1. Open the ShiftCare app.

  2. Log in with your email address and password.

  3. Tap the hamburger icon on the top left of your screen

  4. On the menu, tap My Schedule

  5. Your shift/s will be displayed under the current date

  6. If you click on a Shift, details such as the client name/s, map, date, time, address, and description will be displayed.

    • Client name - if you have multiple clients, tapping the client name will display all clients.

    • Map - If you tap on the map, it will display directions from your location to the shift location.

    • Description - this can provide details such as the door’s lock code, or where the key is left.

Confirming Pending Shifts

  1. You’ll see the status of shifts on the bottom right section of each shift. If it says booked, it means it’s already assigned to you.

  2. If it says Pending, it means that you are yet to confirm availability for this shift.

  3. To confirm availability, tap the Pending shift to open shift details.

  4. At the bottom on the screen, tap Accept.

  5. Once you accept, the status of the shift display Booked on your schedule.

  6. Should you decline, the shift will be removed from your schedule.

Reviewing shifts from previous dates:

  1. Go to the calendar view by tapping the blue line between time slots and the row of dates on your screen.

  2. This will display dates, where you can scroll up or down to see previous shifts. Days, where you had shifts, have a blue dot under the date.

  3. To view shifts from a specific date, tap the date on the calendar

Clocking in and out

  1. Open the ShiftCare mobile app.

  2. On the menu, tap My Schedule.

  3. Open the shift that you intend to clock in on.

  4. Once you arrive at the shift location and are ready to start your shift, tap Clock in.

  5. Once your shift ends, go to your shift’s details page and tap Clock out.

    📝 Note: You will only be able to Clock in if you are located within the vicinity of the shift’s location.

If you try to clock in from a location that does not match your shift’s location, you will get this error message:

📝 Note: You will also receive this error message if you’re in an area with no mobile reception. In this case, feel free to leave a note on the shift and notify your manager immediately.

Completing tasks on your shift

Tasks are checklists of what needs to be done within a shift. We have mandatory and non-mandatory tasks.

  • Mandatory tasks - these are tasks that must be completed within a shift. A caregiver can not clock out without ticking these tasks off.

  • Non-mandatory tasks - it is not compulsary to complete these tasks prior to clocking out.

📝 Note: If you clock out of a shift without ticking off a mandatory task, you will receive this error message:

You’ll know that a shift has included tasks on the Scheduler. It will look like this:

To view and complete tasks:

  1. Open the shift on the ShiftCare app.

  2. Go to the tasks tab at the bottom of the shift details page.

  3. Tasks will be displayed with mandatory tasks in bold.

  4. Tap the circle on the left side of the task to mark it as completed.

Adding care notes, feedback, incident notes, and enquiries

  1. Select the shift that you’d like to add shift notes into.

  2. Go to the Progress tab at the bottom of the shift details page.

  3. Click the + button at the bottom of the page.

  4. You will find the option to add progress (care) notes, feedback, incident notes, and enquiries here.

    • Progress Notes: Allows you to enter details of your care notes througout the shift.

    • Feedback: Allows you to send feedback regarding your shift to your Admin team.

    • Incident: This contains any notable incidents that occur during the shift.

    • Enquiry: If the caregiver has any questions for their employer or manager, those can be placed here.

  5. The format is the same for all. After selecting the type of note that you'd like to add, you’ll be prompted to type your notes.

  6. If you have more than one client, you can add a general note for all or select a specific client to add a note for.

  7. You can also upload an image.

  8. Once you’re done, click SAVE.

Adding mileage and expenses

You can use this to record mileage and any extra expense on the shift.

  1. Select the shift that you’d like to add shift notes into.

  2. Tap the Progress tab at the bottom of the shift details page.

  3. Tap the + button at the bottom of the page.

  4. Select mileage or expense, depending on what you’d like to add.

  5. Enter the number of mileage to add if you’re adding mileage. You can also upload a photo of your odometer here.

  6. For additional expenses, add the number of $ spent, and add what it was spent for under notes. For example, parking.

  7. Click SAVE.

  8. All mileage and expense claims will be displayed on the Progress tab. You can also tap and edit them if needed.

Accessing client documents

📝 Note: Only staff with a scheduled shift with the client can view their client documents.

You can access and review client documents within the app. To do this:

  1. Open the shift on the ShiftCare mobile app.

  2. On the details page, tap the Client’s name.

  3. Go to the Documents tab.

  4. You’ll see all documents related to the selected client here. Tap the document that you wish to view.

  5. This will open the selected document on your phone’s browser.

Adding client goal progress

Clients identify main goals in their Individual Support Plans. This is then added to their Goal Progress Notes, where the staff could rate and record to reflect the client’s movement towards this goal during every shift.

📝 Note: Only staff with a scheduled shift with the specific client can view and rate their goals.

Here’s how you can view and rate goal progress for your shift:

  1. Open the shift on your mobile app.

  2. Tap the Progress tab.

  3. Click +.

  4. Select Goals.

  5. Rate the goal.

  6. Click Save icon.

Viewing your company documents

Your company documents can be accessed through the app as well. This gives you easy access to documents like your company code of ethics, company policies, leave application, etc.

Here’s how you can view these:

  1. Open the ShiftCare mobile app.

  2. Tap the hamburger menu button at the upper left side of the screen.

  3. Tap Document Hub.

  4. All uploaded company documents will be shown here. Select the document that you’d like to view.

  5. This will open the document on your mobile browser.

Viewing your personal documents

You can access personal documents through the app as well. To do so:

  1. Open the ShiftCare mobile app.

  2. Tap the hamburger menu button at the upper left side of the screen.

  3. Select My Documents

  4. This will show all your uploaded personal documents.

  5. To view a specific file, tap the document name.

  6. This will open the document for viewing.

  7. The date of expiration is shown here. When one of your documents expires, you will receive a notification on the mobile app to remind you to update it.

Adding shift unavailability

You can add unavailability on the app to let your schedulers and manager know that you’ll be unable to provide services for particular day/s.

To do this:

  1. Go to the Scheduler on the app (you can access this through My Schedule from the menu).

  2. On the lower end of the page, click +.

  3. Tap the Add Unavailability icon.

  4. This will open a calendar.


    📝 Note: If your company requires a 3-day notice for leaves, then the next 3 days from the current day will be grayed out.

  5. Select the date/s that you are unavailable.

  6. For each date that you select, you’ll be required to specify if it’s an All Day leave or not. It is set to All Day by default.

  7. If you’re not taking the whole day off, toggle the All Day option off.

  8. Put in a start and end time.

  9. Once you’re done, click Save.
