Next, click on 'Edit Program' in the shift actions that you find below shift details.
Clicking on Edit Program will give you below options. Then you can select which field you would like to update.
On clicking time, below dialogue box will open. Select the end date till where shift time is required to change and the update time. Click on Update tab once done.
On clicking Add client, below dialogue box will open. Select the clients who are required to add in the shifts. Click on Update tab once done.
On clicking Remove client, below dialogue box will open. Select the clients who are required to remove in the shifts. Click on Remove tab once done.
Add and Remove Staff
Same as Client
On clicking description, below dialogue box will open. Select the date till where description needs to be changed. Click on Update tab once done.
If you will click All, then you will be prompted with a warning that this action will overwrite existing shifts in the program. Also, choose whether you will wish to edit entire program or only future shifts from current shift onwards. Most commonly you want to choose future shifts.
This will bring you edit program view as shown below.
|Staff||Allows you choose staff from the selection list. You can also click in the field and start typing the name of staff which will be auto-completed.
Tip! You can use filter staff option narrow down your search too.
|Select Client||Here you can select client - their rate group, funding or additional cost.|
|Allowance||You can choose allowance e.g. Mileage, Expense etc. that will be attributed to staff for this shift.|
|Time||Choose start and finish time of shift. Note - time fields have built in-checks i.e. it will automatically prevent you from setting finish time less than start time.|
|Period||Duration for the program. Here set start and end date of the program|
|Repeat||Frequency of repeat, fox example, repeats same day every week.|
|Address||This field is integrated with Google Maps API.
Tip! It is important to choose an address from auto-completed selections
|Description||Here you can add shift instructions for your staff. You can use highlight controls to make certain parts stand out.
Program Repeat Options
Set start and finish time in your program. You can either type in the times or use the simple time dial that pops up.
When changing program time, do not forget to tick Override Attendance checkbox.
Program period will bring up two calendars that allow you to set the 'From' and 'To' dates of the program. The left calendar is for the 'From' date, and the right is for the 'To' date.
- Click the 'Apply' button to save the dates, and cancel to undo any changes.
Do not forget to click Apply before closing dialog.
Repeat dropdown will list out available shift repeat patterns.
|Oneoff||Will only create a shift for the 'From' date selected.|
|Daily||Will create a shift for every day in the 'Program Period'.|
|Weekly||Will create a shift for every week of the 'Program Period' on the day the 'From' date was set to. Example: looking at the above program, the 'From' date is on a Friday, therefore a shift will be created for every Friday in the 'Program Period'.|
|Fortnightly||Will create a shift for every fortnight of the 'Program Period' on the day the 'From' date was set to. Example: again looking above, a shift will be created every second Friday of the 'Program Period'.|
|Every 4 weeks||Will repeat shift every four weeks of the program period.|
|Monthly||Will repeat shift same date of every month of the program period.|
|Weekdays||Will create a shift for every weekday of the 'Program Period' beginning at the 'From' date.|
|Weekends||Will create a shift for every weekend of the 'Program Period' beginning at the 'From' date.|
Update Client within Program
To update Clients within program, click on the Select Client button and you'll get a modal dialog as per image below. You can update following attributes for Clients within this program:
|Search Client - Filter clients by name from list below.|
|Selecting this checkbox will make client part of this program|
|Rate Group that should be applied for this program|
|Ratio that should be used to calculate rate as well as number of staff required. Default is 1:1. Refer to NDIS guide for further understanding of ratios.|
|Funds that should be attributed for this program|
|You can check this option. If there is a travel cost associated for travel to client address from program location.|
