Managing Family Portal Access and Permissions

Learn how to invite contacts and set access permissions for Family Portal users, allowing them to track shift activity and client information.

Inviting Contacts to Family Portal

  1. Navigate to Clients > List and select the client you wish to add a contact for.

  2. If the contact is not already listed as an additional contact on the profile, click 'Add'. Read this guide for detailed instructions.

  3. Once you have added the contact (or contacts) to the client's profile, you can click on either 'Invite all to Family Portal' to invite all contacts, or 'Invite to Family Portal' on each contact to invite them individually.

  4. Confirm their access levels and click 'Invite'.

The contact will receive the following email:

Upon accepting the invitation, they will be asked to set their password and log in.

Please note that an email address used by a contact can only be registered to one client within the Family Portal.

Setting up Default Settings

You can set default access settings to save time when inviting new Family Portal users. These default settings can still be customised individually for each user.

Navigate to Account > Family Portal Settings to customise the default settings. Click 'Edit' to start making changes.

Here are the settings:

  • View Activity Timeline: This shows the Timeline page on the portal, which contains a mini schedule calendar as well as an activity timeline of shifts.

  • Cancel Services: Allows portal users to cancel a service through the portal. You can set a minumum notice period in hours.

  • View Staff Profile: Shows the Staff details page, which includes their profile photo, the first name and initial of their last name, language/s spoken, and essential information.

  • View Notifications: Allows clients to see notifications related to shifts they have requested.

  • View Client Profile: Allows portal users to see the client's contact information as stored in ShiftCare.

  • Allow Viewing Shift Notes: This allows users to see shift notes in the activity timeline section.

  • Allow Editing Shifts: This allows users to edit the date and time of a shift they requested.

  • Allow Shift Requests: Family Portal users will be able to request shifts for their participant. They can do this by navigating to the Timeline or Schedule section and clicking on the 'Request New Service' button.

    They will be able to select a shift type, pick staff member/s, and set the date and time.

  • View Attachments: If a carer adds an attachment to their shift notes (image or file) this will allow the user to see and download those attachments.
