The Family Portal is a secure, user-friendly online platform that allows family members and supporters of ShiftCare clients to stay informed about their loved one's care.
Through this portal, you can view scheduled shifts, carer information, shift notes, and request or cancel services, depending on the permissions granted by the provider.
Here's what we'll cover in this guide:
Accessing the Family Portal
First, you'll receive an email invitation from the care provider.
Clicking 'Accept Invitation' will lead you to the ShiftCare Family Portal login page, where you will be prompted to fill out your email address and create a password. It’s a good idea to bookmark this page so you can easily find it later.
After successfully creating a password, you will be prompted to log in again.
Navigating the Family Portal Interface
The Family Portal has a handy sidebar menu with relevant sections: Timeline, Care Recipient Profile, Schedule, Staff, and User Profile.

Timeline
The timeline menu displays a smaller version of the shift schedule, along with an Activity Timeline that shows previous and upcoming shifts, including their details.
The calendar section has a 'Request New Service' button to quickly submit a new shift request.
Shift notes from carers (when applicable) can be viewed in the Activity Timeline section.
Care Recipient Profile
Here, you will be able to see your participant's details, including their contact information.
Schedule
The Schedule menu shows you a full calendar view of all scheduled shifts. Use the arrows to navigate between months, and submit new service requests using the 'Request New Service' button located in the top-right corner.
Click on a shift to cancel it or make changes (if your access allows it).
Staff
Here, you can browse a list of available care workers.
Click 'View More' on any profile to see:
Their first name and the initial of their last name
Profile picture (if available)
Languages spoken
Their 'About Me' section
User Profile
Your user profile can be accessed in the top right corner of the page.
Click your name to:
Switch between agencies/providers (if applicable)
View the care recipient's profile
View and edit your own profile
Log out
Clicking 'View My Profile' opens your profile page. Click 'Edit' to update your name, contact number, and email address. You can also add or change your profile photo here.
Submitting and Editing Shift Requests
You can request a new shift and edit shifts directly on the platform.
Note: Access to these features depends on the permissions set by your provider. Please contact your provider directly if you have any questions.
Requesting a New Shift
You can find 'Request New Service' buttons in the Timeline and Schedule sections.
Fill in the shift type, staff member, shift name (optional), and the preferred date and time. You can also edit the address if needed and add a description for the service.
Individual tasks can be added by scrolling down to the 'Tasks' section and entering the task name. Make sure to click '+ Task' for every single task added. The 'Mandatory' checkbox can be selected for tasks that must be completed.
Click the blue 'Submit' button in the top right after all the changes have been made. You will be asked to confirm your request.
Once submitted, your provider will be notified, and a shift will be created pending approval.
The color of each requested shift in the calendar indicates its status: green means approved and booked, blue means pending approval, and red means rejected.
Editing or Cancelling a Shift
To edit a shift you requested, select the specific shift in the Schedule's calendar view.
Click 'Update Service', which will lead you to the shift's details page. Click 'Submit' after making the necessary changes.
To cancel a shift, click 'Cancel Service'.
Editing or Cancelling Provider-Rostered Shifts
To edit a shift rostered by the provider, select the specific shift in the Schedule's calendar view.
Click 'Request Change', which will lead you to the shift's details page. You can add a Service Description and click 'Submit'.
Click 'Cancel Service' to cancel the specific shift.
Provide a cancellation reason and click 'Confirm'. Your provider will be notified, and the shift will be cancelled pending approval.
Notifications
Click the bell icon next to your profile photo to receive updates when shifts are created, approved, edited, or rejected.
Frequently Asked Questions (FAQs)
Why can't I see shift notes, staff profiles, request shifts, or other features?
Your access to the Family Portal is determined by the permissions granted by your care provider. If you believe you need access to additional features, please contact your provider directly to discuss your access settings.
Can I view information for more than one family member within the same agency?
At this time, Family Portal access is limited to the specific client you were invited to support. If you support multiple clients within the same agency, separate access may be required for each client.
Why can't I see shifts in the Family Portal?
Only published shifts are visible in the Family Portal. If a shift is not appearing, please check with your provider to confirm that the shift has been published in the Scheduler.
