⚠️ Important note about this feature: Invoice mileage based on Notional Pricing
Notional pricing applies when an NDIS support item doesn’t have a fixed dollar rate. Instead, a unit price of $1.00 is assigned. Providers report the number of units (e.g. 15 km) and are reimbursed based on that quantity.
Providers multiply the $1.00 unit price by the actual quantity delivered to calculate the claim amount (for example, 21.5 units × $1.00 = $21.50).
By applying notional pricing, providers can ensure that:
Invoicing and claims reflect the actual amount of support provided.
Billing for transport and other activity-based services is simplified.
NDIS claim requirements are met.

ShiftCare allows you to apply notional pricing in two areas across invoices:
Applying Notional Pricing to Mileage Line Items
To apply notional pricing specifically to mileage (e.g. staff or carer transport), follow these steps:
Go to Account > Invoice Settings.
Click 'Edit' and toggle 'Invoice mileage based on Notional Pricing' on.
Click 'Save'.
Important note: Once "Invoice mileage based on Notional Pricing" is enabled, mileage line items in invoices will reflect a $1.00 per unit rate, overriding the default pricing in your price books.
How It Works
A common point of confusion is how you can charge an actual rate (like $1.01 or $1.02 per km) when the NDIS requires a $1.00 unit price.
You should always leave your actual rate (e.g., $1.02) set in your Price Book.
When you turn Notional Pricing ON, the system automatically does the math to convert your total dollar amount into $1.00 units for the invoice.
Here is an example of how the formatting changes:
Let's say a carer travels 27 km, and your Price Book rate is $1.02/km.
(The total cost of the trip is 27 x $1.02 = $27.54).
If Notional Pricing is OFF:
Quantity = 27 (The KMs)
Unit Price = $1.02 (Rate per KM)
Total = $27.54
If Notional Pricing is ON (NDIS Compliant):
Quantity = 27.54 (The Total Dollar Amount)
Unit Price = $1.00
Total = $27.54
As you can see, the customer is still charged the exact same total amount ($27.54). The only thing that changes is the invoice presentation to satisfy NDIS rules.
Neither ShiftCare nor the NDIS sets KM pricing. They are a notional pricing item, and can be charged at any reasonable rate agreed by you and your clients. You should decide your own pricing and update pricebooks accordingly.
Applying Notional Pricing to Support Items
If you want to apply notional pricing to specific support items, you can enable this directly within individual price books:
Go to Account > Prices.
Click the 'Edit' button beside the name of the price book you want to amend.
Tick the 'Notional Pricing' checkbox and click 'Save'.
When enabled, the line items in this price book will be invoiced at $1.00 per unit, regardless of the standard rate in the price book. When disabled, the system will use the standard unit price defined in your price book.
