Manual Overtime Tagging

Manually tag shifts as overtime to apply custom premiums and control overtime pay independently from FLSA calculations.

The Manual Overtime Tagging feature allows you to mark individual shifts as manual overtime, applying an additional overtime premium to those shifts. This gives you full control over when overtime pay is applied (separate from FLSA overtime calculations).

Note: This feature is available only for the US and CA regions.

Enabling Manual Overtime

To enable manual overtime in your account:

  1. Navigate to Account > Pay Groups from the sidebar menu.

  2. Click the 'Actions' dropdown button and select 'Overtime Settings'.

  3. Toggle 'Turn on Manual Overtime' on to activate the feature.

    • Add an Export Code to identify manual overtime entries in payroll exports.

    • Set the Overtime percentage (e.g. 50%).

  4. Click 'Save'.

Marking Shifts as Manual Overtime

To mark a shift as manual overtime:

  1. Open the Scheduler and select a shift.

  2. Click the 'More actions' button in the pop-up window and select 'Mark as Manual Overtime'.

  3. To remove the tag, repeat these steps and select 'Unmark Manual Overtime'.

Important: Shifts marked as manual overtime cannot be copied using the Copy Schedule feature.

Shift Details

When a shift is marked as manual overtime, the shift section will display an indicator confirming its overtime status.

In the Pay item breakdown section, you’ll see the regular pay items with the base hourly rate and an Overtime Premium line showing the additional premium hours and rate.

Staff Timesheets

To view manual overtime shifts in a staff member’s timesheet:

  1. Go to Staff > [Click on staff member's name] > Timesheet from the sidebar menu.

  2. Shifts tagged as manual overtime will display a purple clock icon in the Shift column for easy identification.

Downloading Timesheets

You can download an individual staff member's timesheet by clicking the Download icon at the bottom right of the screen.

The CSV file will now include a new column called Overtime Type, indicating whether a shift is:

  • Manual: Manually marked as overtime

  • Automatic: Calculated through FLSA rules

  • Blank: Not marked as overtime

You can also download all staff timesheet report that include manual overtime data:

  1. Navigate to Timesheet > List and click the Download icon at the bottom right.

  2. Select from the Pay group based choices.

In the payroll export, you’ll see separate rows for:

  • Regular work hours

  • Manual overtime hours (with the configured export code)

  • FLSA overtime hours
