Setting and Managing Work Hour Caps

Set and enforce work hour limits to ensure compliance and prevent over-scheduling. Learn how to configure caps and monitor staff hours.

ShiftCare’s configurable Work Hour Caps feature allows organisations to set maximum allowable working hours for staff members over different time periods (day, week, fortnight, month).

This helps ensure compliance with regulations and supports custom limits for any staff member.

When caps are enforced, ShiftCare will block admins from rostering shifts that exceed a staff member’s configured limit.

This guide includes:

Setting Work Hour Caps for Staff Members

  1. Navigate to Staff > List > and select a staff member.

  2. Scroll down to the Payroll Settings section and click 'Edit'.

  3. Set the maximum hours per day, week, fortnight, or month (as needed). Tick the checkbox to enforce the cap, which will block any shift that exceeds the staff member’s limit from being rostered.

  4. Click 'Update'. You will now be able to see the staff member's maximum hours and whether or not the cap is enforced.

The Staff List will display each member's maximum hours in the Max Hour Cap column. Enforced caps are denoted with check marks.

Rostering Shifts

When creating or editing a shift, if cap enforcement is active and the scheduled hours of the shift are approaching the staff’s cap limit, you will:

  • Receive a warning message

If selecting that staff member would cause them to exceed their cap and enforcement is enabled, you will:

  • Receive a warning message

  • Not be able to roster the shift

Viewing Cap Status in the Scheduler

When viewing the Scheduler, hovering over a staff member’s total hours displays their compliance status for the selected period.

Work Hour Compliance Report

To view a detailed Work Hour Compliance Report, navigate to Reports > Report Hub.

Click 'View Report' in the 'Work Hours Compliance - Staff View' section.

This will redirect to the Staff View page, where you will see an overview of max hours, hours worked, enforcement status, and other details.

Click 'Filters and Dates' to filter the report based on teams, pay groups, roles, etc.

You can also toggle between Daily and Monthly views.

Mobile App Functionality

In the mobile app, staff members can see their configured cap and total scheduled hours for the current period in the My Timesheet section.
