Using the Leave Dashboard

Manage all staff leave requests in one central dashboard. Quickly spot roster conflicts, approve time off, and sync to ShiftCare HR.

The Leave Dashboard provides Admins and Coordinators with a single, centralised place to review and action every staff leave request.

Instead of jumping between screens, you can see all leave requests, spot if they clash with any rostered shifts, and approve or reject them on the spot. If your organisation uses the ShiftCare HR integration, these decisions will also sync automatically to your external software.

Accessing the Leave Dashboard

To view your staff leave requests:

  1. Navigate to Dashboard from the sidebar menu.

  2. Select the Leave tab at the top of the page. Here, you will see a table listing all leave requests across your organisation. At the top of the screen, summary cards give you a quick view of the leave statistics.

  3. By default, the dashboard shows leave across all statuses (Pending, Approved, Rejected). You can narrow down this view to find exactly what you need:

    • Staff: Select a specific staff member you want to see (you can select more than one person).

    • Status: Filter the table to only show Pending, Approved, or Rejected leave records.

    • Date Range: Use the date-range picker to view requests for a specific period.

    • Filters Panel: Open the filter menu to sort by Leave Type, Facilities, Teams, or Locations.

    • You can also use the search bar to find a specific staff member by name.

Dashboard Summary Cards

At the top of the Leave Dashboard, a row of summary cards gives you an instant overview of your team's leave activity. Instead of manually filtering and counting rows, you can quickly see who is off and spot any coverage risks at a glance.

The summary cards include:

  • On Leave Today: The total number of staff on approved leave today. This card always reflects today's date.

  • Upcoming Leave: The number of approved leave requests coming up in the future.

  • Pending Approvals: The number of leave requests still waiting for a decision.

  • Shift Conflicts: The number of shifts that clash with someone's leave (i.e., a staff member is rostered for a shift while they are officially off).

  • Sick Leave: The total number of staff out on sick leave today. This card always reflects today's date.

  • Teams Impacted: The number of distinct teams that currently have someone on leave.

The Upcoming Leave, Pending Approvals, Shift Conflicts, and Teams Impacted cards will automatically update their totals to match the specific Date Range filter you have applied to the dashboard.

Reviewing Leave Requests and Shift Conflicts

Each row on the dashboard provides all the context you need to make an approval decision at a glance. You will see the staff member's name, start/end dates, leave type, the date it was submitted, reason provided, and status.

Before approving a request, look at the Conflicts column. This number tells you exactly how many existing shifts on your roster overlap with the requested leave period.

If the number is greater than zero, approving the leave means those specific shifts will be left uncovered, and you will need to find a replacement carer.

The Conflicts count includes both published and unpublished shifts, but ignores cancelled shifts.

Approving and Rejecting Leave Requests

You can action leave requests directly from this dashboard without needing to open another page.

Locate a Pending leave request on the list and click Approve (check button) or Reject (X button).

  • Approve: A confirmation window will appear. The status will update to "Approved", and the staff member's availability will be blocked out on the Scheduler.

  • Reject: You will be prompted to enter a Reason. This is required to ensure there is a clear record of why the leave was declined.

  • After making a decision, the Action column changes into a 'View' button to open the full leave details.

How Leave Syncs to ShiftCare HR (Integrations)

The Leave Dashboard is designed to work seamlessly with ShiftCare HR, eliminating the need to double-enter data.

  • ShiftCare HR: If your account is connected to ShiftCare HR, any approval or rejection decision you make on this dashboard will automatically sync back to ShiftCare HR.

  • Xero and MYOB: If you have mapped your leave categories and enabled Leave Sync for Xero (AU) or MYOB, any leave you approve on this dashboard will automatically flow straight into ShiftCare HR and the staff member's draft pay run in your accounting software, accurately deducting from their leave accrual balances.

If you do not have these integrations connected, the Leave Dashboard functions perfectly as a standalone review and approval tool within ShiftCare.
