Add Progress, Feedback, or Incident Notes from the Mobile App

A guide to explain the process of entering and editing care notes when logged into the mobile app.

Add Notes

Care workers can easily add shift progress notes through the ShiftCare mobile app, thereby reducing paperwork clutter. Log in to your App, then click on the shift that you want to add notes for. After that, choose the Progress tab as shown in the image below.

This will show you the list of notes entered for that shift. Next, click on the plus (+) sign, and view the list of selections to choose from.

On this page, you can add the following shift notes:

  • Progress Notes: The care worker can add shift descriptions/notes in this section.

  • Feedback: Care workers can easily add shift feedback through the ShiftCare App, thereby sending their feedback in real-time and electronically.

  • Incident: You can now add a shift incident.

  • Enquiry: This part can be used as internal shift-related communication between staff and their employer.

In the next view, enter your shift progress notes in the field as specified below. Once done, press the Save icon. Your feedback will be recorded against the shift, and a notification will be sent to the coordinator/manager (if they have subscribed).

💡 Tip! On some Android phones, the save button has to be clicked twice because the first time it just hides the keyboard.

An asterisk (*) next to a heading in your progress notes indicates that the question or information is required. You will get a warning if you try to save without filling in the field.

If mandatory progress notes are enabled for your organisation, you will not be able to clock out without submitting a progress note.

You may also be required to meet a minimum word count to ensure detailed reporting. If you attempt to save the note before reaching the required word count, you will receive an error message.

Edit Notes

Whilst on the progress tabs page, notes can be edited. To edit notes, select the note that is to be updated. Once the note has been selected, you will be directed to the edit progress note page. At the top left of the page will be the note label (feedback, incident, progress note, etc.). The edit icon is at the top right of the page.

Notes for Group Shifts

In scenarios where there are multiple clients on the shift, it is possible to post a note to either an individual client or to the group.

When using the app, selecting Notify All will apply the note to all of the clients in the shift. If an individual client is selected, the note is applied to that individual.

Any shift notes are visible in the shift history as well as the communications history for the client.

Any note event is also available under the report named Events - Details.

Frequently Asked Questions (FAQs)

Can I save a progress note and finish it later?

Yes. Progress notes are automatically saved as drafts, allowing you to return and complete them later.

If you start writing a note and navigate away (e.g., by pressing back), your progress will be saved automatically. There’s no need to manually click a save button unless you have finished editing the note and you want to publish it.

To continue editing:

  1. Go back to the relevant shift

  2. Click Add Note

  3. Your draft will reappear for you to complete

This applies to all note types, including progress notes, feedback, incident, and enquiry notes. Please check the screen recording for illustration.


How can other staff members view progress notes?

Other staff members can view progress notes if the Share Progress Notes setting is enabled for the client via the Scheduler. To allow this:

  1. Go to the client’s Details page in the Scheduler.

  2. Enable the Share Progress Notes setting.

Once enabled, staff members will be able to view notes written by others from the Shift Details page in the mobile app.

Staff can see other carer's notes by clicking on the Events tab in the shift

Can staff members add notes from the web app?

Yes. Staff members with any role who are rostered to a shift can add notes via the web app.

To do this:

  1. Log in at https://app.shiftcare.com/ using a desktop or tablet browser

  2. Open the relevant shift

  3. Click More Actions

  4. Select Add Notes
