Split Invoicing by Payment Type

Learn how to generate separate invoices for clients with multiple payment types (plan-managed, self-managed, etc).

Written by Jas King

Many NDIS participants receive funding from multiple sources. For example, a client may be NDIA-managed for their Supported Independent Living (SIL) services and Plan-managed for Community Access.

Split Invoicing solves this problem by allowing you to create separate invoices by payment type (e.g., Agency-managed, Plan-managed, Self-managed, Private). This means cleaner records, accurate billing, and easier claims processing.

This guide covers:

Assigning Payment Types to Price Books

  1. To enable Split Invoicing, you’ll first need to assign price books to your clients.

  2. After you have assigned the necessary price books, go to Clients > List in the sidebar menu and click on the client’s name.

  3. On their Details page, scroll down to the Price Books section.

  4. Click 'Configure' next to the price book to which you want to assign a payment type.

  5. In the 'Payment Type' dropdown menu, choose the correct option (Agency-Managed, Plan-Managed, Self-Managed, Private Payment). Learn about the other configuration settings here.

  6. Click 'Save' to apply your changes.

Generating Invoices by Payment Type

Once the price books have been configured, you can generate invoices grouped by payment type.

  1. Go to Invoices > Generate in the sidebar menu.

  2. Fill out the 'Shift Date' range. In the 'Group By' dropdown menu, select 'Payment Type'.

  3. This will generate multiple invoices per client, one for each payment type used during the invoice period. Click 'View Report' to see each invoice in detail.

NOTE: The correct billing contact is automatically assigned to the 'To'

field, depending on the payment type. You can manually change the selection by clicking the dropdown menu.
