Bulk Cancelling Shifts

Learn how to quickly cancel multiple shifts across a date range, set cancellation reasons, and manage rebooking in the Scheduler.

The Bulk Cancel Shifts feature allows you to quickly cancel multiple shifts at once across a selected date range, saving time and reducing manual updates.

Here are the steps to bulk cancel shifts:

  1. In the Scheduler, click the three vertical dots (⋮) in the top-left corner of the screen and select 'Cancel Schedule'.

  2. A pop-up window will appear where you can specify which shifts to cancel.

  3. By default, the date range will match your current Scheduler view. You can adjust the Start Date and End Date.

  4. Next, choose a reason for the cancellation. Read this guide to learn more about shift cancellation reasons.

    1. Cancelled by client: Tick this if the client cancelled the shifts and should be charged. Staff members will also be paid.

      Select an NDIS cancellation reason from the dropdown menu and type out a reason (both required).

    2. Cancelled by us, without charge: Tick this if the provider has cancelled the shifts. Clients will not be charged, and staff members will not be paid.

      Type out a reason (required) and toggle on 'Notify carer' if you would like to send a notification to affected carers.

  5. The system will automatically calculate how many shifts are eligible for cancellation within your selected date range. After reviewing the notes and reminders, click 'Confirm'.

  6. The cancellation process may take a few moments. Refresh the page to see the updated shift statuses.

Note: You can use the Scheduler's search box to filter the shifts by client, staff member, facility, team, etc. before clicking 'Cancel Schedule'. This gives you more control over the shifts you want to cancel.


Cancelled shifts will be displayed differently in the Scheduler depending on the reason for cancellation.

  1. Cancelled by client: Tiles will turn yellow.

    1. In the shift details, the client’s name appears with a strikethrough.

    2. To reinstate the shift and make it active again, click the blue 'Rebook' button next to the client’s name.

  2. Cancelled by us, without charge: Tiles will turn orange.

    1. In the shift details, the cancellation reason is shown at the top.

    2. To reinstate the shift and make it active again, click 'More actions' and select 'Rebook'.
