The Offline Mode feature allows carers to access key shift information and perform clock-ins and clock-outs even without an internet connection. This ensures uninterrupted work and accurate shift records, even in areas with poor or no network coverage.
This guide includes:
Enabling Offline Mode
To use Offline Mode, it must first be enabled for your account.
Navigate to Account > Feature Settings.
Go to the Offline Mobile section and toggle 'Offline Clocking' on.
Once enabled, a new 'Offline Settings' section will appear in the mobile app’s sidebar menu.
Understanding Online and Offline Modes
The app does not automatically switch between online and offline modes based on your internet connection. Instead, users must manually select their mode from the 'Offline Settings' page.
When using Offline Mode, the app displays banners that help you decide if you’re in the correct mode:
In Offline Mode without internet: The information banner confirms your offline status.
In Offline Mode with internet: The app suggests switching back online.
In Online Mode with no internet: The app suggests switching to Offline Mode.
Offline Mode Features
While in Offline Mode, users can view shifts and clock in/out.
Viewing Shifts
When Offline Mode is enabled, the app downloads and stores the next 24 hours of shift data each time it is opened from a fresh state. This ensures staff members can still view their upcoming shifts without an active internet connection.
Carers will be able to access:
The shift list/Scheduler page (only the shifts that have been downloaded)
Individual shift details, including staff and client names, as well as the shift location and map
If there is no internet connection, data from other pages won’t be accessible.
If the user is in Offline Mode but has internet, they can access other pages, but clock-ins and clock-outs will still follow offline rules.
Clocking In and Out
When in Offline Mode, staff members can still successfully clock in and clock out.
Time restrictions:
They can clock in up to 3 hours before their scheduled start time.
They can clock out up to 6 hours after their scheduled end time.
They can only clock in/out once per shift.
Location restrictions:
Location checks still apply (within a 1 km radius of the shift address).
Users can clock in/out outside this radius if 'Allow clockin outside of location radius' is enabled in your account settings.
GPS must be active on the user's device.
In Offline Mode, the app skips other shift requirements like mandatory forms or tasks.
Syncing Offline Data
When the user returns to Online Mode, the app automatically uploads any clock-in or clock-out actions performed offline.
There will be a brief syncing message while the app updates. Once complete, the shift list refreshes, and the clock-in/out times will appear as usual.
📝 Note: If an admin user updates the clock-in/out times before the mobile sync occurs, admin changes take priority.
