Admin users can use the ShiftCare app to view and manage shifts, staff, clients, and timesheets on the go. This allows admins to stay connected and manage operations efficiently, even when they're away from the office.

Accessing the Admin Section
To access the admin section of the ShiftCare app, open the sidebar menu and tap 'Admin'.
This menu is only visible to users with the Admin role. At the bottom of the screen, you'll see these tabs:
Scheduler
Staff
Clients
More (Timesheet Report)
Scheduler Page
From the Scheduler page, admin users can use the mobile app to manage shifts just like they do on the web version.
Here, you'll see an overview of upcoming shifts for the next few days and their status.
Customising the Shift View
To change the timeline, tap the left or right arrows or the calendar icon. Tap 'Today' to return to the current day’s schedule.
Tap the three vertical dots to customise which details appear on the shift cards.
The client/staff name, price book, and start time are always shown.
You can show or hide:
End time / Clockout time
Number of hours
Shift type
Address
You can also switch between Client View and Staff View to adjust how shifts are displayed.
Filtering Shifts
Tap 'Filters' to refine what shifts are displayed. You can filter by:
Shift type
Team, staff members, or clients
Allowances
Clockin time, notes, mileage, and expenses
Editing Shifts
Tap on a shift to view or edit its details.
Tap the Edit icon to make changes.
Tap 'Advanced Edit' to apply detailed updates.
When done, don't forget to click 'Save' to confirm your changes.
Click the gear icon (more actions) to advertise the shift, approve the timesheet, copy the shift, etc.
Adding and Publishing Shifts
You can add new shifts and publish existing ones directly from the Scheduler tab.
Tap the '+ Shift' button to create a new shift.
Fill out the required sections as you would on the web version.
Tap 'Save' after filling out the necessary sections.
To publish all unpublished shifts for the timeline, click the blue 'Publish' button and confirm the action.
To publish an individual shift, select the shift and click the blue arrow button. Confirm the action.
Staff Page
The Staff page is a mobile version of the web staff list. Here, you can see details for each staff member on your account.
You can search for specific staff members by filling out the Search Staff bar. You can also filter based on Status (Awaiting Response, Pending Review, Active, No Access), Document Attached (Yes or No), and the staff member's Start or End date.
Click 'Advanced Search' to open a more detailed filter/criteria menu, including options to filter by gender, teams, age, languages spoken, etc.
Accessing a Staff Member's Details Page
Click on a staff member's name to open their details page.
Similar to the web version, tap 'Edit' in the appropriate sections to change/add information on the staff member.
Bulk Actions
In the Staff page, click on several staff members' cards to select them (blue checks will appear beside their names), then tap 'Bulk Update'. You can mark all selected staff as Active, resend onboarding emails, etc.
Clients Page
The Clients page works the same way as the staff list page. Here, you can see a list of all the clients in your account, including their essential details.
You can search for specific clients by filling out the Search Client bar and filter based on Age (Adults, Children, All) or Status (Prospect, Active, Inactive, All). Click 'Bulk Email/SMS' to send messages in bulk.
Accessing a Client's Details Page
Click on a client's name to open their details page.
Similar to the web version, you can edit/add information to the client's account here. You can also see the Care Plan, Goals, and click on 'More' to access Medication Plans and Tasks associated with the client.
Bulk Actions
In the Clients page, click on several clients' cards to select them (blue checks will appear beside their names), then tap 'Bulk Action'. You can add or remove forms and toggle notifications on or off here.
Timesheet Report Page
Click the 'More' tab to access the staff Timesheet Report.
Here, you can see a broad overview of staff members' timesheets. Click the 'Period' dropdown menu to filter the report by time period (This week, Last week, Next week, or Custom date). You can also filter by shift type, staff member, or team.
Click on the boxed number on the right to see how many shifts still need to be approved for that staff member.
