Plan your schedule with more control. Create unpublished shifts ahead of time and publish to your team when the schedule is complete.

⚠️ This feature is only available in the Premium subscription plan.

With the Publish Shifts feature, you can create unpublished shifts ahead of time, juggle them around, and only publish them to your team members when the schedule is complete, allowing you to:

  • Plan the schedule ahead of time

  • Publish the schedule when it's finalised

  • Give carers confidence about their schedule

  • Send less notifications to carers

How to enable Publish Shifts

Navigate to Account >> Settings

Go to the Publish Shifts section and toggle the selector to the on-position:

Options for Managing Future Shifts

Keep future shifts published

This will keep all current shifts as published on the scheduler. Staff will maintain visibility to all their existing shifts on their mobile app. Any new shifts created from this point will need to be published before staff have visibility on the mobile app.

Change future shifts to unpublished

When turning on Publish Shifts, you can unpublish future shifts by selecting a date from the date picker. All shifts from this date forward will become unpublished and not visible on the staff member's mobile app.

  • Select 'Change future shifts to unpublished'

  • Select the date you would like to unpublish shifts from by clicking on the date picker:

Press 'Turn on' and the changes will be applied to your schedule immediately.

  • Shifts before the date selected will appear with a green tile denoting a published shift.

  • Unpublished shifts will appear with a grey tile and will not be visible to staff on the mobile app.


Publishing a single-shift

Unpublished shifts are displayed with a grey tile. These shifts can be individually published by clicking on the shift in the scheduler and selecting 'Publish'.

Press 'Confirm' to publish the shift:

The shift tile will turn green and will now be published and visible to rostered staff on their mobile app...

Press 'Confirm' to unpublish the shift:

The shift tile will turn grey and will no longer be visible to rostered staff on their mobile app...


Publishing groups of shifts

Once you've finalised your schedule, you may publish groups of shifts by day, week or fortnight.

Select daily, weekly or fortnightly from the drop-down menu and ensure the date range is correct for the publishing period. In the example below, we are going to publish a fortnightly roster for all shifts from February 12 to 25.

Click on the blue 'Publish Shifts' button.

Confirm the date range and the number of shifts to be published, then click 'Publish'

Your published shifts will now appear with a green tile and will be visible to rostered staff on their mobile app.


Turn off Publish Shifts

*** WARNING ***

By turning off Publish shifts, all future unpublished shifts will be published.

  • Past unpublished shifts created over a month ago will be hidden from the schedule

  • Previously published shifts will remain in the schedule

  • All new shifts will be published when created

  • This may take a few minutes to process and will require you to refresh the schedule

  • Publish shifts will be turned off for your entire business workspace

How?

Navigate to Account >> Settings

Go to the Publish Shifts section and toggle the selector to the off-position:

Confirm by pressing the 'Turn Off' button...

A confirmation message will appear in the top left of your screen:

All unpublished shifts will now by published and viewable by rostered staff on their mobile app.
