Support at Home (SaH): Monthly Client Activity Statements

Generate monthly activity statements for Support at Home clients to summarise services and ensure regulatory compliance.

Monthly Client Activity Statements allow providers to clearly summarise the services delivered to each Support at Home (SaH) client over a specific month. These statements are designed to align with regulatory requirements and ensure transparency for clients and their representatives.

Each monthly statement provides a clear, client-friendly summary of activity for the selected period. The PDF document includes:

  • Client Details: Basic demographic and account information

  • Statement Period: The specific calendar month covered

  • Service History: A detailed list of delivered services and activities, including dates, duration, amounts, or quantities

  • Third-Party Providers: An indication of whether services were provided by a third party

  • Financial Summaries: Totals for the statement period and the remaining Fund Balance for the quarter

Generating Monthly Statements

You can generate statements for all of your Support at Home clients at once. You can only do this once per month.

  1. Navigate to Invoices > SaH Claims.

  2. Select the Statements tab and click the 'Generate Statement' button.

  3. Select the month you wish to generate statements for and click 'Generate Statements' to begin the process.

Downloading the files may take a few minutes, depending on the volume of data. Once processing is complete, a 'Download' button will appear for that month.

Note: You may need to refresh your screen for the button to become visible.

Clicking 'Download' will save a folder containing all the PDF statements for that month.

Manual Override for SaH Client Statements

If you need to manually adjust specific figures (such as a fund balance) on a statement, you can use the Override function.

Note: You must generate the statements for the month first before you can override them.

  1. Navigate to Invoices > SaH Claims > Statements and generate a statement following the instructions above. Click the 'Override' button.

  2. In the pop-up modal, click 'Download Template'.

  3. Open the template in a spreadsheet program and in the top row (starting from Column B and moving right), enter the Care Recipient ID for each client whose statement you want to adjust.

    • You can find the Care Recipient ID on the client's profile (SaH tab).

  4. Locate the row for the figure you want to adjust and type the new amount under the correct client's column.

    • Important: Any cell left blank will remain untouched and keep its original system-generated figure.

  5. Save your edited spreadsheet as a CSV file.

  6. Return to the Override modal in ShiftCare and drag or upload your edited CSV file.

  7. Click 'Generate Manual Statement'.

  8. The system will process the edits in the background. Once finished, you can click the 'Download' button on the Statements tab, and the new PDFs will display your edited figures.

Accessing Individual Client Statements

After statements have been generated for a period, you can access and download them individually from a client's profile at any time.

  1. Navigate to Clients > List and select the specific client.

  2. Go to the Funds & Accounts page and select the 'Statement' tab at the top of the screen.

  3. Statements for the current or previous months will be displayed here. Click 'Download' to open the PDF file in a new tab (where it can be downloaded).

Important Notes

  • Statements are generated strictly on a calendar-month basis. This ensures consistency with the reporting and funding periods commonly used for Support at Home programmes.

  • The statement reflects all recorded transactions for the selected month, regardless of whether they have been officially claimed or not.

  • Once a statement is generated, it is read-only. Any retrospective changes made to shifts, tasks, or services for a period after the statement has been generated will be reflected in next month's statement.
