The Dashboard provides a high-level overview of your organisation's daily performance. It aggregates real-time alerts and historical trends into a single view, allowing you to quickly identify rostering gaps, attendance issues, and utilisation rates.
Dashboard Overview and Refresh Rates
You can find the Dashboard at the top of the sidebar menu. This page is split into two sections that update at different frequencies:
1. Live Indicators (Top Row)
The summary boxes at the top of the page (e.g., New Incidents, Late Clock Ins) operate on a live query. These cards update instantly whenever you open or refresh the page.
2. Data Visualisations (Charts and Graphs)
The charts below the top row (e.g., Utilisation, Vacant Hours vs Availability Forecast) are designed for trend analysis over a rolling 30-day period.
These are updated once daily (at midnight AEDT).
Currently, these charts are fixed to the last 30 days and cannot be custom-adjusted.
Top Row Indicators (Live Data)
These tiles highlight immediate actions requiring admin attention. The Dashboard is interactive. You can click on some cards to navigate directly to the relevant detailed report for deeper analysis.
New Incidents: Recently reported incidents.
Late Clock Ins: Staff who have not clocked in on time for today's shifts. This card is clickable and leads to the Clock In/Out Variance report.
Late Clock Outs: Staff who are still clocked in past their scheduled finish time. This card is clickable and leads to the Clock In/Out Variance report.
Responses Awaiting Review: Submitted forms pending approval.
Shifts Cancelled Today: Cancellations that occurred in the last 24 hours, both by clients and staff members.
Data Visualisations (Trends)
These charts provide insight into workforce efficiency and reliability.
Utilisation
The utilisation graph compares each staff member’s assigned hours against their contracted hours in the current roster period.
Calculation: Weekly Hours (from Staff Payroll Settings) x Rostered Pay Period Setting.
Example: If a carer has 38 Weekly Hours and the Pay Period is "Weekly", the graph shows 38 hours. If the Pay Period is "Fortnightly", it shows 76 hours.
Note: Break hours are not included in this graph.
Vacant Hours vs. Availability Forecast
This graph compares the total hours of unassigned shifts with the percentage of staff available to work that day, highlighting roster gaps relative to staff availability.
Clicking 'View Report' will redirect you to the Vacant Shifts report page.
Included: Shifts currently on the Job Board (Published rosters)
Excluded: Draft shifts
Shift Cancellations
Track the number of shifts cancelled by either staff or clients over the last month.
Rostered vs. Actual Shift Time Variance
Shows the percentage of each staff member's completed shifts in a 30-day period that were: clocked in more than 10 minutes after the scheduled shift start time; or clocked out at least 10 minutes earlier than the scheduled shift end time.
Clicking 'View Report' will redirect you to the Clock In/Out Variance report page.
The difference between the scheduled shift duration and the actual time worked. A shift is counted in the variance rate if:
A staff member clocks in 10+ minutes late.
OR a staff member clocks out 10+ minutes early.
Late Clock In Times
Track the number of shifts where staff have clocked in more than 10 minutes after the scheduled start time. This graph is clickable and leads to the Clock In/Out Variance report.
