The Compliance Report provides a consolidated view of your organisation's documentation status. It allows you to track both staff qualifications and client documents in one place, helping you quickly identify expiry dates and ensure compliance with industry requirements.
The AI Audit Insight dashboard acts as a smart requirements engine that automatically cross-references your records against official NDIS and Support at Home (SaH) standards to show you exactly where your compliance gaps are.
Accessing the Report
To view the report, navigate to Reports > Compliance from the sidebar menu.
AI Audit Insights (Audit Readiness)
At the top of the Compliance Report, you will find the AI Audit Insights dashboard. This AI-powered tool acts as a requirements engine, telling you (in one click) whether your organisation is ready for your next NDIS or Support at Home (SaH) audit.
Rather than manually cross-referencing your staff data against government standards, the AI determines which staff qualifications and account documents you need, and checks your account's records against them.
Click the '✨Generate' button at the top of the page. The system will process the data in the background.
Once completed, the Audit Insight banner will display your results. You can regenerate this up to 3 times per day if you update your staff records and want to refresh the report.
The AI Audit Insight rolls up your requirements into clear status cards:
In the Clear (Green): Every required staff member holds a valid, current copy of the document.
Needs Attention (Orange): Some staff hold the document, but others are missing it, it has expired, or it is expiring soon.
Missing Qualifications (Red): Your account does not have this required document.
You can click on any specific card to open a drill-down view. This will show you exactly why the requirement matters, recommended actions to fix it, and the Staff Coverage (showing how many staff are compliant or missing the document).
The AI automatically recognises that different roles require different qualifications, so office admins won't be flagged for missing clinical certificates. Archived staff are also intentionally excluded from the results.
Customising the Table View
When you open the report, you can easily toggle between tracking your team's qualifications and your clients' documents using the Staff / Client tabs at the top of the page. This gives you full visibility without needing to bounce between different screens.
By default, the table may not show every category/qualification. You can customise the columns to focus on the specific documents you need to track (e.g., First Aid, NDIS Check, Client Service Agreements).
Click the Category dropdown menu at the top of the report.
For the Staff tab, you can select the category you want to view.
For the Client tab, you can click the titles to tick or untick the categories you want to view.
For the Staff tab, this will automatically fill out the Qualification dropdown menu with the pre-assigned selections. Click the dropdown menu, then click the titles to tick or untick the qualifications you want to view.
You can select up to 15 columns to display in the table at one time.
Clicking a row will direct you to the staff member's Qualifications page or the client's Documents page.
The system automatically remembers your selection. The next time you load this report, it will display the same set of columns you selected previously.
Status Colours
The report uses a colour-coded system to help you visualise compliance status at a glance (the colour legend is located at the bottom of the page):
Green (Valid): The document is Verified and has more than 30 days remaining before expiry. The expiry date is displayed, if applicable.
Orange (Expiring Soon): The document is Verified but will expire within the next 30 days. The expiry date is displayed.
Red (Expired): The document has expired, and the expiry date is displayed.
Blue (Unverified): A document has been uploaded but is not verified (and not expired).
Red Outline (Requires Attachment): The category/qualification is missing the required document.
Grey (No Qualification/Document): No document has been uploaded for this requirement.
Multiple Documents: If a staff member has multiple documents for the same qualification (e.g., an old certificate and a renewed one), the report will display the expiry date of the furthest expiring document.
Exporting the Data
You can export the full dataset for external auditing or further analysis.
Select the tab you wish to export (Staff or Client).
Click the 'Export' button in the top-right corner.
Since the file may be large, it will be processed in the background. Once the export is ready, you will receive an email and in-app notification.
Navigate to Reports > Download Center to download the CSV file.
The CSV export is tailored to whichever view (Staff or Client) you currently have active. The CSV export includes all documents/qualifications and all people for that tab. It does not filter the output based on the specific columns you selected on the screen.
