Using the Risk Insights Dashboard

Learn how the Risk Insights dashboard automatically flags missing or expired care documents based on a client's recorded risk scores.

To help you proactively manage client safety and compliance, ShiftCare offers the Risk Insights dashboard.

Located at the very top of a client's Risks tab, this dashboard acts as an automated safety net. It continuously cross-references the risk scores you've recorded on the client's profile against the documents you currently hold on file.

If the system detects a severe risk but sees that the required mitigation plan (like a Behaviour Support Plan) is missing or expired, it will immediately flag the gap so you can take action.

How the Dashboard Works

The Risk Insights engine reads three specific data sources on your client's profile:

  • Risk Scores: The 1 to 5 severity scores you assign to the various risk fields.

  • BMI: The client's recorded Body Mass Index.

  • Documents: The actual files uploaded to the client's 'Documents' tab.

When a client's score in a specific risk field reaches a high severity level (4 or 5), the system checks whether you have uploaded the appropriate document category to mitigate it. If the required document is missing, the system will instantly generate an alert on the dashboard.

The dashboard recalculates every time the page loads or when a risk card is edited, ensuring you are always looking at the most up-to-date compliance snapshot.

Understanding the Risk Buckets

When the system detects a missing document or unanswered question, it places the alert into one of three prioritised buckets based on severity:

  1. Top Priorities (Highest severity; Act now): Appears when a risk is rated 5/5 (or the client's BMI is severely under/overweight) AND all of the required documents to manage it are missing or expired.

  2. Emerging Risks (Trending up; Monitor before they escalate): Appears when a risk is rated 5/5, but you only have some (not all) of the required documents on file. It will also appear here if a risk is rated 4/5 and the required documents are missing.

  3. Profile Gaps (Important information not yet captured): Appears when a risk field has been left completely blank or the client's BMI has not been recorded.

Uploading Missing Documents

For the Risk Insights dashboard to recognise that a risk has been mitigated, the required document must be uploaded to the client's profile, and its expiry date must be valid.

A document is considered "Missing" and will trigger an alert if:

  • You have not uploaded a file under that specific category.

  • The document has passed its Expiry Date.

  • You uploaded the document but forgot to set an Expiry Date (and did not tick 'No Expiration').

To upload the necessary documents, navigate to Client > List > Client Name > Documents.

Click 'Upload Files' and make sure to select the correct document category from the dropdown menu.

If a document is flagged as "Expiring Soon" (e.g., expiring within the next 90 days), the system still counts it as a valid, present document and will not trigger a missing alert.

The table below outlines which risk scores trigger an alert and which specific Document Category you must upload to the client's profile to clear the alert from your dashboard.
