Managing the Client Health Dashboard

Learn how to use the Client Health Dashboard to quickly spot and resolve billing, care needs, and profile health issues at a glance

The Client Health Dashboard provides a quick, high-level overview of items that require your attention across your entire client base.

Located directly on the Clients > List page, this feature helps you spot issues at a glance and pinpoint specific clients that need attention. It consists of two main parts:

  • Dashboard Cards: Display the total count of affected clients across your entire account.

  • Table Columns: Display per-client details inline on your Client List table.

AI Insights

Located at the top of the screen, the AI Insights panel provides a weekly health summary of your client portfolio.

It compares this week's metrics against last week's snapshot to highlight what needs immediate attention, what is getting worse, and what is improving.

Click the 'Generate' button to run the analysis (data is refreshed every 2 minutes).

Once loaded, the panel expands to show your results. You can click the down arrow in the header to collapse or expand the insights without needing to regenerate them.

The panel organises your metrics into three sections, displaying up to 3 items per section ranked by severity:

  • Top Priorities (Red): High-impact areas that are worsening or persistently elevated. These need immediate attention.

  • Emerging Risks (Orange): Medium and low-severity areas that are trending in the wrong direction. Worth monitoring before they escalate.

  • Improving/Stable (Green): Areas where the numbers of affected clients have decreased or held at zero compared to last week.

The AI will also generate a brief commentary summarising the trends.

Each row displays the metric name, the current number of affected clients, and a badge indicating the difference from last week (a red arrow if worse, a green arrow if better).

Clicking on any metric row in the AI panel will filter the dashboard to highlight the corresponding health card, allowing you to quickly see the affected clients in the table below.

Note: If this is your first week using the dashboard, the system needs at least one weekly snapshot to calculate trends. Full week-over-week comparisons will be available after the following Monday.

Navigating the Dashboard Tabs

To keep information organised, the dashboard cards at the top of the page are grouped into four tabs:

  • All Stats: Displays all dashboard cards in a single comprehensive view. Click 'Show More' to display all the cards.

  • Billing: Focuses on financial and funding-related items.

  • Care Needs: Focuses on care delivery and task-related items.

  • Profile Health: Highlights missing information to ensure client records are complete.

If AI Insights is enabled, the cards will show the appropriate severity rankings.

Customising Table Columns

To see exactly which clients need attention for specific issues, click the three vertical dots on the upper right of the screen to add or remove columns on your Client List table.

Tick/untick the checkboxes of the specific columns you want to view/hide. The selected columns will appear alongside your standard client information.

Note: To keep the page loading quickly, only the columns you actively select will load data.

Billing Tab Metrics

This section helps you stay on top of client funding and invoicing.

  • Fund Issues: The card shows the total number of clients across your account with fund problems, and the column flags exactly which funds are depleted, expired, or expiring soon.

    • Clients appear here if a fund is Depleted (100%+ used), Expired (date passed), or Expiring (within the next 30 days). The system only counts the client once, based on their highest-priority issue.

  • Pricebook Issues: The card shows the total number of clients missing a valid price book, and the column indicates if a specific client is missing an active (non-archived) price book, which may prevent accurate invoicing.

  • Unpaid Invoices: The card shows the total number of clients with outstanding invoices, and the column shows the total dollar value of unpaid or overdue invoices for each client.

Care Needs Tab Metrics

This section ensures client care delivery remains compliant and on schedule.

  • Forms Needing Responses/Approvals: The card shows the number of clients with forms that need responses and approvals.

  • The "Forms Pending" column: This column shows the total count of forms for that client that still need action — forms awaiting the client's response (whether assigned directly to them or associated with them, including shift-related forms) plus any responses they've submitted that are still awaiting your review.

  • Onboarding Status (Waitlist/Prospect): The card shows the total number of clients currently in 'Prospect' status, and the column shows each client's current onboarding stage (Prospect, Waitlist, etc.).

  • Care Plans Needing Attention: The card shows the total number of clients with care plans nearing review. The column shows the most urgent review status for each client's care plan (either Expired if the date has passed, or Expiring if the review date is within 30 days).

  • Medications Due Review: The card shows the total number of clients with medication plans nearing review. The column shows the specific review status for each client's medication plans (Due for review, Active, Archived, or N/A).

  • Overdue Tasks (Card Only): Shows the total number of clients with incomplete tasks that are past their due date. (This does not have a dedicated column; details are shown in the Pending Tasks column).

  • Pending Tasks (Column Only): The column splits task data into two counts for each client: Overdue (due date has passed) and Pending (future due date or no due date set).

  • Authorisations Expiring (NA): The card shows the total number of clients with authorisations about to expire, and the column shows the most urgent authorisation status for each client (either Expired or Expiring within your configured alert window).

Profile Health Tab Metrics

This section helps you maintain accurate, complete, and compliant client records.

  • Expired/Expiring Documents: The card shows the total number of clients with document issues, and the column shows exactly how many documents have Expired (date passed) or are Expiring (within the next 30 days).

  • Emergency Contacts/Next of Kin Missing: The card shows the total number of clients who are missing emergency or next of kin contact. The column indicates specifically whether each client is missing an emergency contact, a next of kin, or both.

  • Family Portal Invites Pending: The card shows the total number of clients with pending Family Portal invitations, and the column shows the specific invitation status for each client (Pending or Accepted).
