Managing AI Settings

Control how AI is used in your account. Learn how to enable or disable specific AI features and review our data transparency principles.

ShiftCare offers a suite of powerful Artificial Intelligence (AI) tools designed to streamline your workflows, from analysing shift notes to summarising client health.

To give you complete control over how AI is used within your organisation, Admin users can use the AI Settings page to enable or disable these features at any time.

To configure which AI features are active for your account, navigate to Account > AI Settings from the sidebar menu. Only users with the Admin role can view and manage this page.

The Master Toggle

At the top of the AI Settings page, you will find the Master Toggle 'Enable AI Features'.

  • Toggle on: Turns on the AI engine for your account, allowing you to selectively enable the individual AI features below it.

  • Toggle off: Instantly disables all AI functionality across your entire ShiftCare account. When this master toggle is turned off, all individual feature toggles below it will be greyed out and disabled.

When the Master Toggle is on, you can use the granular toggles to choose exactly which AI tools your team has access to.

MCP - External AI Model Access

Connect ShiftCare to an external AI model via MCP and let AI assistants (such as ChatGPT and Claude) securely access your ShiftCare data. You can ask questions, generate reports, and get insights that respect your existing permissions.

This feature is recommended for advanced users and operations leads. Please read this in-depth guide for more information.

MCP is currently available to admin roles only. Role access is managed in your role-specific permissions.

AI Dashboard Summaries

AI Dashboard Summaries controls the AI-generated insights on your dashboards.

  • Client Dashboard Summaries: Enables the AI Insights panel on the Client List page, which analyses weekly trends and generates summaries of client census, care needs, and key metrics, including aggregated health indicators and service utilisation.

  • Billing Report Summaries: Generate financial summaries including billing status, revenue trends, and payer analysis. No client payment details are exposed.

  • Invoicing Report Summaries: Automate the invoicing process by generating invoices based on service delivery and billing rates.

Care Signals

Care Signals is an automated risk-detection tool. This allows the AI to automatically review clinical notes for quality assurance and risk indicators.

  • Progress Notes: Enables the AI to automatically read and analyse carer progress notes in the background. If the AI detects a potential risk (like a fall, medication error, or behavioural issue), it flags it for admin review on the Care Signals dashboard.

  • Form Responses: Scan shift form responses for quality and risk indicators alongside progress notes.

AI Note Summary Rephrasing

AI Note Rephrasing provides writing assistance to your staff. When enabled, carers can use AI to automatically rephrase, summarise, or improve the progress notes they write at the end of a shift.

AI Reminder Message Generation

You can use the AI Reminder Message Generator to create reminder messages using AI to send to clients and staff via email, SMS, or push notifications. When enabled, AI will generate draft messages based on the reminder type, channel, and tone you select. Messages can be reviewed and edited before sending.

Visit Verification Agent (NA)

The Visit Verification Agent automatically verifies and approves live-in shifts when all requirements are met.

  • Auto approve eligible shifts: A shift's timesheet is automatically approved and synced to external connections when all requirements are completed.

  • Auto submit verified visits: All verified shifts are automatically synced to EVV.

AI Data Controls & Transparency

At the bottom of the AI Settings page, you will find an informational section detailing exactly how ShiftCare processes and protects your data when using AI features. Click the right arrow to expand the section.

This section cannot be edited, but it provides crucial transparency regarding our strict compliance standards.

Key Data Principles:

  • No Model Training: Your data is never used to train AI models. This is strictly disabled by default and cannot be enabled.

  • Anonymisation: Before support notes are scanned by AI, ShiftCare automatically strips out personal identifiers (such as names, phone numbers, and addresses) to protect client privacy.

  • Clear Labelling: Any content generated or flagged by AI inside ShiftCare is clearly labelled as AI-generated, AI-assisted, or AI-flagged to support strict NDIS and CQC audit trail requirements.

  • Secure Processing: All AI processing runs on secure, compliant Amazon Web Services (AWS) infrastructure. Data for Australian and US customers is processed in-country with no cross-border transfers. UK and Canada data may be processed internationally, with transfers protected by appropriate contractual safeguards.
