How does annual billing work?

In this article we explore what happens when you add or remove a user while you're on an annual ShiftCare plan

Are you starting a new subscription on a ShiftCare annual plan? This article explains how ShiftCare billing works when you add or remove seats during your annual subscription period.

New customers subscribing to an annual plan

Annual plans are paid upfront for the entire year. These plans are provided at a discounted rate compared to our monthly plans.

During the course of your annual subscription, there may be a need to add or remove staff from your annual subscription plan.

Example

Let's say you join ShiftCare with 10 staff on June 1 and the monthly cost per user is $20.

Your initial charge will be comprised of:

10 staff x $20 per month x 12 months for a total of $2,400

This will be billed to your credit card immediately, and no further charges will be applied to your card until June 1 of the following year unless you:

  • add additional staff to your subscription

  • add additional Connect seats to your subscription

  • incur text charges (which are billed monthly in arrears)

What happens if I add an additional staff member to my subscription during the year?

When you add an additional staff member to your subscription, ShiftCare will charge you a prorated amount based on the number of months left in your current annual subscription.

Example

Using the example above, one staff member costs $20 per month on the annual plan. As you approach your annual subscription renewal date, ShiftCare will reduce the annual charge for adding a user to your account, and charge you for additional staff based on the number of months left in your current subscription period.

If you add a staff member in January, you will have 5 months to go before your subscription renews. ShiftCare will charge you for 5 months at $20 per month for the remainder of the subscription period for a total of $100.

When your annual subscription renews the following year, any additional staff added to your account throughout the year will be charged at the standard annual rate for the next 12 months.

In the example below, you can see the charges that will be applied based on a single staff member being added throughout the year. The annual charge for a staff member is calculated as:

1 staff x $20 per month x 12 months for a total of $240

If you add a new staff member in January (5 months prior to annual subscription renewal), the calculation is:

1 staff x $20 per month x 5 months for a total of $100

When your subscription renews, the new staff member is automatically included on your next annual bill.

Example

Initial charge when you subscribed: $2,400

Annual charge for additional seat added the following year: $240

New annual charge: $2,640

What happens when I reduce my subscription and remove a staff member from my subscription?

The same rules apply when removing staff from ShiftCare. A prorated credit will be applied to your account based on the calculations above.

Example

1 staff x $20 per month x 12 months costs a total of $240

If you remove a staff member in January (5 months prior to subscription renewal), the calculation is:

1 staff x $20 per month x 5 months for a total of $100 credit

Credits will appear on your invoice and will be put towards your next invoice. Credits will be used:

  • when your subscription renews the following year

  • when you add an additional staff member throughout the year

  • when you add a Connect seat

  • if you incur charges for monthly text services

The credit balance will always be used first prior to additional charges being made on your credit card.

Refunds

As per our refund policy, account credits cannot be refunded.
