Enabling this feature will allow your staff to decline a shift if they are no longer able to attend. If the staff member declines a shift, it will move into the vacant section of the Scheduler or to the Job Board (depending on your settings), and admin staff will be notified.
This is different from our confirmation required feature, where staff need to accept or decline shifts. Details of this feature can be found here.
With this feature, staff will automatically accept their shifts; they just have the option to decline if they choose.
This guide includes:
Enable Shift Decline
Navigate to Account > Settings.
In the Time and Attendance section, you will find a toggle for Decline assigned shifts.
You can also set a cut-off decline window that prevents staff from declining shifts too close to the start time. For example, if you set this to 96 hours, staff will only be able to decline a shift more than 4 days in advance, giving you enough time to reassign and cover the shift.
When you turn on this feature, all previous shifts will be updated to allow declining.
Per Shift Setting
It is possible to disable the decline option on individual shifts. If there are certain shifts you don't want to allow your staff to decline, simply open the shift and go into Advanced Edit. You can then toggle off the 'Decline accepted shift' option.
Decline a Shift from the Mobile App
Staff can decline a shift in the app by clicking on the shift, then clicking on the 3 dots on the top right > Decline Shift.
They will be asked to enter a reason for declining the shift, which will be visible in the shift logs.
Automatic Return to Job Board
When a staff member declines a shift, it can now automatically return to the Job Board, making it available for other eligible staff to pick up.
This setting can be configured in Account > Settings.
Navigate to Time and attendance, click 'Edit', and toggle on 'Declined shifts automatically added to job board'. This feature will be off by default.
Click 'Save'.
Important Notes:
Declined shifts that are moved to the Job Board are only visible to staff who meet the original eligibility requirements.
If the shift was originally on the Job Board before being declined, it will retain the pre-determined settings. If not, the shift will automatically be set to 'Requires Approval' (you will be able to review applications and select who gets the shift).
All notifications and audit trails for the shift will remain.
When you click the declined shift (in the Job Board row), the activity log shows that the shift was declined and displays the carer's reason.
Admins will receive an email notification when a shift has been declined and added to the Job Board.
Notifications
Office staff can receive email notifications whenever a carer declines a shift.
Navigate to Staff > List and click on the staff member you want to receive notifications for.
Make sure 'Subscribe to Notifications' is enabled and select 'Shift declined' from the Subscribed Email Categories list.
