Microsoft Outlook Calendar Integration

ShiftCare’s Microsoft Outlook Calendar integration allows staff members to automatically sync their rostered shifts directly to their Outlook Calendar.

Once connected, any new, edited, or deleted shifts will instantly update in your calendar, making it easier to stay organised, reduce scheduling errors, and view your work schedule alongside personal commitments in one place.

Enabling the Microsoft Outlook Calendar Integration

Before staff members can connect their calendars, an Admin user must enable the feature for the account.

  1. Navigate to Account > Integrations > Browse from the sidebar menu.

  2. Scroll down to the Microsoft Outlook section and click 'Enable'.

Connecting Microsoft Outlook Calendar

Once the Admin has enabled the integration, staff members can connect their Outlook account directly through the ShiftCare mobile app.

  1. Open the ShiftCare app and tap the hamburger menu (☰). Select 'Integrations'.

  2. Tap 'Connect to Microsoft Outlook Calendar'.

  3. A secure Microsoft login page will open. Sign in with your Microsoft account credentials and authorise ShiftCare to access your calendar.

Once authorised, you will be redirected back to the ShiftCare app.

The integration status badge will now show as 'ON', and your assigned shifts will automatically begin syncing to your Outlook Calendar.

How Shifts Sync to Outlook

As soon as a shift is created for you, it will appear in your Outlook Calendar.

  • If your organisation uses the 'Publish Shifts' feature, syncing only occurs after the shift has been officially published by your admin team.

When you tap on a synced shift in your Outlook Calendar, it will display all the essential details, including:

  • Client Name

  • Time: Your shift start and end times

  • Location: The client's address

This is a one-way sync from ShiftCare to Outlook. Updating shift details in ShiftCare automatically updates the Outlook Calendar event in real time. Making changes to the event directly inside your Outlook Calendar will not update or affect the shift in ShiftCare.

Cancelling, deleting, or reassigning a shift in ShiftCare automatically removes it from your Outlook Calendar.

Disconnecting Your Calendar

If you no longer want your shifts to sync to Outlook, you can disconnect your account at any time.

  1. Open the ShiftCare app and go to Integrations.

  2. Tap 'Disconnect Microsoft Outlook Calendar'.

  3. The integration will disconnect immediately, and the status badge will change to 'OFF'.

Note: Syncing will stop immediately, but any shifts that were already synced to your calendar prior to disconnecting will not be removed.
