Managing ShiftCare Notifications

Office users - Admin, Coordinator & HR roles can subscribe or turn off email notification for shift events

If your role is Admin, Coordinator, HR or Ops, then you can subscribe to or turn off email notifications for shift events. Examples of Shift events include clock in/out, progress note added, and mileage added.

The available notifications are:

  • Clock In and Clock Out

  • Clock Error

  • Adding Enquiry, Expense, Feedback, Incident, Mileage, Injury, Notes

  • Rating

  • Shift Accepted and Declined

  • Late clock in and Early clock out

  • Staff Onboarding

  • Client Authorisation Expiry

  • Family Portal Shift Request

  • Job Board Applications

  • Clock in and Clock out - Out of Range

  • Low fund balance

  • Insufficient shift funding

If you wish to subscribe yourself or someone with Admin, Coordinator, HR or Ops roles to these notifications, update the 'Subscribe to Notifications' setting on their details page.

⚠️ By default, account owners are subscribed to receive notifications

Other Roles, such as Office Support, do not get notifications, but Admin, Coordinator, HR or Ops have access rights and can manage the notifications for other users. Read this guide to learn how.

Turning on or off notifications

If your role is Admin, Coordinator, HR or Ops you can subscribe to these notifications by going to your staff details page and updating "Subscribed Email Categories" within the Settings module. You will need to tick "Subscribe to Notifications" if you do not have any selected.

To change which notifications you are getting, click 'Edit' in the Settings module.

This will allow you to pick which notifications you get.

  • To remove a category, click the cross next to its name.

  • To add a category, click it in the drop-down list to tick it.

Remember to click the blue Update button after making your changes.

Late Clock-in Notifications

With late clock-in notifications, you can quickly address no-shows or cancellations before they escalate. This feature helps maintain quality control and client safety by enabling you to proactively address issues as they arise.

For those working after hours, ShiftCare can run in the background, providing real-time updates on staff attendance. This gives you peace of mind, reduces stress, and helps you rest easy, especially during overnight shifts.

An email will be sent 10 minutes after a rostered shift has commenced if the staff member assigned to the shift has not clocked in yet. This applies to ALL shifts.

Turn On Late Clock-in Notification

Overall control of the notification is an account setting in the "Time and attendance" module. This turns the notification on or off before anyone with the option selected on their profile receives the email.

Late Clockin Notification must be toggled on to start receiving the notifications.


Managing your inbox - filtering notification emails

Subject lines used for the notification emails are:

  • Progress notes: Notification: {{staff name}} has added a {{note category*}}

  • Clock in failed: ✋ ShiftCare update: Clockin failure for {{staff name}}

  • Clock out failed: ✋ ShiftCare update: Clockout failure for {{staff name}}

  • Clockin successful: ⏰ ShiftCare update: {{staff name}} started their shift with {{client name}}

  • Clockout successful: ⏰ ShiftCare update: {{staff name}} finished their shift with {{client name}}

  • Job Board shift accepted: {{staff name}} has applied for a shift on ShiftCare Job Board

  • Late Clockin: [ShiftCare] Late Clockin Reminder

  • Notes

  • Feedback
