Here is a video tutorial:
If you don't have NDIS prices already loaded into your ShiftCare account, follow this guide to import pricing for the first time.
Updating Pricebooks
Navigate to Account > Prices from the sidebar menu.
Click the blue 'Update July 2026 NDIS prices' button at the top of the page.
Select 'Update All'. If you have custom prices, please click 'Review' to select only the pricebooks you want to update. See below for more information.
Click 'Refresh' to see the updated pricebooks.
Reviewing Pricebooks
If you have custom pricing (where some of your price books have rates that intentionally differ from the standard NDIS pricing for the same code), or you want to choose a specific time to update them, click 'Review'.
This will take you to the standard review page. If needed, you can click 'Select All Pricebooks' at the top, and then scroll down to untick the specific price books you do not want to update.
If you require Remote pricing, you can select the Remote option here.
Once you have made your selections, click 'Update' at the bottom of the screen.
Importing New NDIS Price Guides (2026 Changes)
There are many new prices and codes this year. Because of how services are now split up, the codes are different for each service. Therefore, they have been separated into distinct price books.
To add these new codes to your account, you will need to import them by clicking the Actions dropdown menu and selecting 'Import NDIS Price Guide'.
Tick the necessary checkboxes and click 'Add' at the bottom of the screen.
Note: Allied Health has been split out into separate sections this year. Ensure you scroll through the categories to find the specific codes you need.
Notional Pricing
ShiftCare fully supports Notional Pricing. Notional pricing is used when there is no fixed set price for a service, but you charge an agreed-upon rate that must be billed to the NDIS in units of $1.
When you import new Notional Pricing price books this year, they will automatically be flagged correctly in the system. If you click the edit (pencil) icon on the price book, you will see that the 'Notional Pricing' checkbox is ticked.
When your prices update, your existing prices will stay current and active until July 1st, 2026. After that date, the new prices will automatically kick in. If you click 'Hide expired rates', it may look like your old prices have disappeared, but they are still there and active in the background until the changeover date.
Frequently Asked Questions (FAQs)
I deleted the old price - now my invoices aren't working properly, and I can't invoice as the shift is showing an error.
If you delete the old prices, then backdated shifts will no longer be able to be billed correctly. You can update the prices with the previous hourly rates by editing the price.
For example, in the following price book. Any shifts using this price book prior to 1/12/2020 will use the price of $88, and any shifts after 1/12/2020 will use the price of $100.
