Modifying recurring shifts allows you to quickly update shift details for a single day, future occurrences, or a specific date range.

This ensures your roster remains flexible and accurate without the need to manually edit every single shift in a series.

Modifying Recurring Shifts

Rather than deleting the recurring shift and creating a new one from scratch, we can edit the existing shift's details to change the recurrence.

In this example, we have a recurring series for Client 1 that has a weekly occurrence every Monday, Wednesday, and Friday.

Client 1 has notified us that they now require support on Mondays, Tuesdays, and Thursdays going forward. There is also a lot of detail in Client 1's shifts, including split-shift information, tasks, and instructions, which we need to keep.

To get started, you need to select a shift you want to modify from the Scheduler.

Recurring shifts are identified by rotating arrows on the shift card. Hovering over this icon will display details about the recurring series. Grey arrows mean the series is ending soon.

Click on a recurring shift to open the shift details and click More actions > Update Recurrence (only available for future shifts).

In the pop-up window, you can:

  • Set how often the shift occurs (daily, weekly, or monthly)

  • Choose the number of days/weeks/months between each recurrence

  • Select the specific days the shift takes place

  • Specify an end date

Read this guide for detailed examples. A summary of future shifts is shown below the end date. Click 'Update' after making your changes.

Updating the recurrence will delete all existing future shifts in this series and create new ones based on the changes. It will also unpublish all future shifts.

If you need to modify other details, select a shift and click 'Edit'. From here, you can change the date, time, and location, assign another carer, add instructions, and fix other basic details.

Click 'Advanced Edit' to make more detailed changes.

Once you are happy with the changes, click 'Save'.


After clicking save, you will be asked how you want to apply these updates. You can choose from the following options:

  • Only this shift: Applies the changes only to the specific shift you selected.

  • Future shifts: Applies the changes to future shifts until the date specified.

  • Date Range: Applies the changes to a specific start and end date within the series.

The system will display a summary of the shifts affected by this change. Click 'Update' to confirm and finalise the changes.

The recurring shifts have now been modified.


Frequently Asked Questions (FAQs)

How can I add or replace the staff member(s) in a recurring shift?

Depending on the outcome that you want to achieve, you can add or replace staff members in a recurring shift using the Basic or Advanced Edit mode.

Basic Edit — Replaces the staff member

In Basic Edit, the Carer field allows only one staff member. If you assign a different staff member, the system will replace the existing staff member in those shifts.

Use Basic Edit when you want to replace the assigned staff member for the upcoming shifts in the series.

Advanced Edit — Adds or removes multiple staff members

In Advanced Edit, the Choose Carer section supports multiple staff members. You can add and remove multiple staff members in this mode.

Use Advanced Edit when you want to add or remove multiple staff members to the shift rather than replace them.
